Let’s be real for a second: We all know that planning ahead is key to staying on top of life’s endless to-do lists. But let’s also be honest – sometimes it feels like no matter how many planners or apps we try, things just don’t stick. The truth is, creating a weekly planner that actually works isn’t about being perfect or doing it the “right” way. It’s about finding a system that fits you.
So, let me walk you through a few simple, yet game-changing steps to create a planner that not only helps you organize your week but also actually gets used (because, yes, we want this to work long-term).
Step 1: Start with a Clean Slate (No Pressure!)
Okay, first things first – ditch the pressure to create the perfect planner. Take a deep breath. We’re going to do this together, and it’s going to be fun. If you’ve ever stared at a blank page, wondering how in the world you’re supposed to structure your life (me, literally every Sunday), don’t worry! Let’s start with a clean slate and a bit of grace.
I recommend grabbing a blank piece of paper or opening your favorite planner (digital or paper) and just writing out a simple list of what you need to focus on. This isn’t a to-do list yet. Think of it as a brain dump – just jot down what’s important to you this week. Maybe it’s a work project, a personal goal, or simply finding time for self-care. No need to categorize or organize yet. Just free your mind.
Step 2: Identify Your Non-Negotiables
Okay, here’s where things start to get interesting! It’s time to ask yourself: What absolutely, positively needs to happen this week?
We all have those things that must be done – meetings, appointments, deadlines, family obligations, or personal goals we’re working on. These are your “non-negotiables” and should take priority in your planner.
Here’s the secret: Once you have these key items down, it’s much easier to see where the “wiggle room” is for everything else you want to fit in. By the way, don’t skip this step. Writing down these non-negotiables will help you stay grounded and give you a sense of accomplishment as you cross them off. It’s like setting up the structure before you add the fun details.
Step 3: Break It Down Into Bite-Sized Chunks
Now that you know what your must-do items are, let’s take those goals and break them down into smaller, more manageable tasks. It’s easy to get overwhelmed when we look at the big picture, right? But if you break things down into actionable steps, it suddenly feels a lot less daunting.
So, let’s say you have a big work presentation on Thursday – instead of just writing “Work on presentation” on your planner, try breaking it down:
• Monday: Create an outline
• Tuesday: Research additional data
• Wednesday: Draft slides
• Thursday: Review & practice delivery
When you see these smaller tasks on your planner, they feel way more achievable. And we both know that small wins add up to big wins, right?

Here’s the thing: Life is constantly changing, and so is your schedule. Some weeks will be smooth sailing, and others will feel like a chaotic rollercoaster. And that’s okay!
So at the end of the week (I like to do this on Sunday), take a few minutes to reflect:

• What can you tweak to make next week even better?
